Privacy Policy
Last updated: October 24, 2026
Podshare is operated by CAFE SOFTWARE LLC, a Georgia limited liability company ("Cafe Software", "we", "us"). This policy explains what personal information we collect when you use podshare.ai, podshare.site, pslink.io, and the Podshare service (together, the "Service"), how we use it, and the choices you have.
1. Who this policy covers
It covers visitors to our website, people who join the waitlist, account holders, people invited to a pod, and people who view an artifact shared from a pod, including a public artifact at an org's own domain.
Sites our customers publish
Our customers publish artifacts on the web, at podshare.site and at domains of their own, such as example.com. When you visit one, the org or person who published it decides what it shows and what it asks you for, and is responsible for that. For what an artifact collects from its visitors, such as a form's answers, they are the controller and we process it on their behalf, under their instructions and this policy. Ask them about it first: their own privacy notice, where they have one, says what they do with it. We will help them answer you, and you can always write to us.
Visiting a public artifact without signing in, we set no cookie and keep nothing that names you. Our hosting provider sees your IP address and browser details, as it does for every page we serve. What an artifact keeps for you alone when you are signed out stays in your own browser and never reaches us.
2. Information we collect
Information you give us
- Waitlist details. Your email address and, if you answer it, which AI tools you use.
- Account details. Your name and email address, and the sign-in information handled by our authentication provider. We do not store your password ourselves. If you sign in with Google, Apple, GitHub, Microsoft, or X, we receive your name and email address from that service.
- Content. The pods and artifacts you create, the HTML, text, and other material in them, saved versions, and messages and comments posted in a pod, whether written by you or by an AI tool acting for you.
- People you invite. The email addresses of people you add to a pod, and the role you give them.
- Images. The images you or your AI tool add to a pod as assets.
- What artifacts keep. What you write into an artifact while signed in, such as answers to a form, with your username and when you wrote it, and any file you add with it. The people who run the pod can read what you send to them, and an artifact can show what it shares with everyone. What an artifact keeps for you alone is read by nobody else.
- Feedback and screenshots. When you send feedback from inside the Service, we receive what you wrote, the address of the page you were on, your browser type and window size, and any screenshots you attach. A screenshot is a picture of what was on your screen, so it can show other people's names, messages, and content from the pod you had open. Attach one only when you are content for us to see what it shows.
- Enterprise enquiries. Your name, email address, company, team size, and message, when you send the contact form on the pricing page.
- Payment details. When an org pays for a plan, our payment processor collects the card details and billing information. We receive a record of the subscription and its payments, not the full card number.
- Messages to us. Anything you send when you contact us.
Information collected automatically
- Activity records. A log of actions in a pod, such as who changed which part of an artifact and when, which changes were refused, and when a version was published. This is part of how the Service works and is visible to the pod's members.
- History of changes. Earlier states of each part of an artifact, kept for a period so that a change can be undone. Section 7 says for how long.
- Device and usage data. IP address, browser type, pages visited, and timestamps, collected through server logs and analytics. The IP address a waitlist or contact form was sent from is kept with it, to limit abuse of those forms.
- A record of emails we send. The address, the kind of email, its subject, and when it was sent. We do not keep the body.
- Where you came from. The referring page and any campaign tags on the link that brought you to our site, so we can tell which of our ads and posts are working.
3. How we use information
- To provide the Service: sign you in, store and display your content, and share it with the people you choose.
- To send invites, service notices, and replies to your messages.
- To understand how the Service is used, fix problems, and improve it.
- To see which of our ads and posts bring people to the site, from the link they arrived by.
- To take payment for paid plans.
- To keep the Service secure and to detect and prevent abuse, such as phishing content or malicious code.
- To comply with the law and enforce our Terms of Service.
4. AI tools and your content
Podshare lets you connect an AI tool that you already use, under your own account with that tool's provider. When you do, the tool acts as you inside the pods you can access: it can read the content of those pods and make changes there.
- Content your AI tool reads from Podshare is sent to that tool's provider and handled under your agreement with them and their privacy policy, not this one.
- We do not use your content to train AI models, and we do not sell it.
- Other members of a pod can connect their own AI tools, which can read the content of that pod in the same way.
- You can disconnect an AI tool at any time from within that tool.
5. Cookies and analytics
We use cookies that are necessary to keep you signed in and to remember your choice of light or dark theme. You can block cookies in your browser; the Service needs the sign-in cookies to work. We do not use advertising cookies or advertising trackers.
We use one analytics tool to count page views and clicks. It does not record your screen, and it does not collect the text of pages or anything from inside a pod. The first time you visit, we ask whether we may use cookies to measure how Podshare is used. Until you accept, the analytics tool keeps nothing in your browser and does not connect what you do in the browser to your account. Once you accept, it remembers your browser between visits and, when you are signed in, connects what you do to your account and email address. You can change your choice at any time:
Separately from cookies, our servers record a small number of events, such as joining the waitlist, redeeming an invite, or creating a pod. These are recorded whatever your cookie choice. For a signed-in person they are recorded against an account id, not an email address. For someone without an account they are recorded against a scrambled form of their email address that cannot be turned back into the address.
6. How we share information
- With people you choose. Members of a pod can see its content, its activity records, and the names of its other members. Anyone you share an artifact or a preview link with can see that artifact. A preview link works for anyone who has it until it expires, so share it with care. A share link, at pslink.io, opens one saved version to anyone who has it until it expires or is turned off, and the person who made it sees how many times it was opened and when it was last opened, not who opened it. A public artifact can be seen by anyone.
- With the publisher of an artifact. What you write into an artifact goes to the pod that publishes it, which decides what it does with it, as section 1 describes.
- With service providers. The companies that host and operate the Service for us. They may use the information only to provide their services to us, and may not use your content to train AI models. We choose them, and change them, as the Service needs, and a current list is available on request. They are:
- Sign-in: your name, email address, and sign-in details.
- Hosting, database, and storage: account details, pods, artifacts, messages, comments, activity records, images, saved versions, feedback screenshots, the requests you and your AI tool make, server logs, and the IP address and browser details of people who visit.
- Search: the text of saved versions, while it is turned into search data.
- Protecting early access and our forms from abuse: a one-way hash of the email address you give us, never the address itself, and the IP address it was sent from.
- Email: the address and the content of each email we send you.
- Analytics: page views, clicks, and the events described in section 5, and, after you accept cookies, your account id and email address.
- Error reports: technical details of an error, the page it happened on, and your account id. Not your email address, and not the content of your pods.
- Payments: the name, email address, card details, and billing information given when an org pays for a plan.
- Checks before content is public: the text of a version, without its images, and the addresses of its links, when it is checked before it is shown publicly or through a share link.
- AI models for Sprout, the AI helper built into Podshare: what you ask Sprout to do, and the content of the pod he reads to do it.
- For legal and safety reasons. When required by law, or when needed to protect the rights, property, or safety of our users, the public, or Cafe Software.
- In a business transfer. If we are involved in a merger, acquisition, or sale of assets, your information may be transferred as part of it.
We do not sell your personal information, and we do not share it for cross-context behavioral advertising.
7. Data retention
What we keep, and for how long:
- Your account. Your name and email address, until you ask us to delete it.
- Pods, artifacts, saved versions, images, messages, and comments. For as long as the pod exists. When a pod's storage is full, saving a new version removes its oldest saved versions to make room, never the one that is live.
- What artifacts keep. Until the pod removes it, or the pod is deleted.
- History of changes to an artifact. 30 days on the Personal plan and 90 days on paid plans. The 20 most recent changes to each part of an artifact are kept whatever their age, so that it can always be restored.
- Deleted pods and orgs. A pod or an org that is deleted stops being shown and its artifacts stop being served at once, but its records stay in our database until you ask us to delete them. An image you delete from a pod is removed from storage within a few days.
- Feedback. Screenshots are deleted 90 days after we mark the feedback as dealt with. What you wrote is kept until you ask us to delete it.
- Waitlist details, enterprise enquiries, and the record of emails we sent. Until you ask us to delete them.
- Payment records. For as long as the law requires us to keep financial records.
- Server logs and analytics. For the periods our providers keep them.
Asking us to delete
There is no button in the Service yet that deletes an account. To have your account, or anything else we hold about you, deleted, email support@podshare.ai from the address on the account. We will delete it within 30 days and tell you when it is done, except for what we must keep to comply with the law, resolve disputes, or prevent abuse. Content you added to a pod that other people share stays in that pod unless you ask us to remove it too.
8. Your rights and choices
Depending on where you live, you may have the right to access, correct, delete, or receive a copy of your personal information, and to object to or restrict certain uses of it. To make a request, email support@podshare.ai. We will not treat you differently for exercising these rights.
California residents
California law gives you the right to know what personal information we collect and how we use and disclose it, to request deletion or correction, and to not be discriminated against for exercising these rights. We do not sell or share personal information as those terms are defined under California law.
Residents of the EEA, the UK, and Switzerland
We process personal information to perform our contract with you, for our legitimate interests in operating and securing the Service, with your consent where we ask for it, and to comply with legal obligations. You may also lodge a complaint with your local data protection authority.
9. International transfers
We are based in the United States, and our service providers operate in the United States and other countries. If you use the Service from elsewhere, your information will be transferred to and processed in those countries, with safeguards appropriate to the transfer where the law requires them.
10. Children
The Service is not directed to children under 13, or under 16 in the EEA, the UK, and Switzerland, and we do not knowingly collect personal information from them. If you believe a child has given us personal information, contact us and we will delete it.
11. Security
We use measures designed to protect your information, including encryption in transit, access controls, and isolating the artifacts people create from the rest of the Service. No system is perfectly secure, and you are responsible for keeping your sign-in details, and any AI tools you connect, under your control.
12. Third-party services
Artifacts created in Podshare can link to or load content from other sites, and the AI tools you connect are operated by other companies. This policy does not cover them.
13. Changes to this policy
We may update this policy as the Service changes. If we make a material change to how we use your information, we will tell you by email or through the Service before it takes effect. Changing the providers we use, within the kinds section 6 describes, is not a material change. The date at the top shows when it was last updated.
